At Iconica, we treat your data the way we'd want ours to be treated: carefully, transparently, and only when there's a good reason. This policy explains what we collect, why, and what you can do about it.
Who we are
Iconica SA is the data controller for personal information collected through this website. We're a ServiceNow consultancy headquartered in Geneva, Switzerland.

What we collect
Information you give us directly. When you fill out a contact form, download a white paper, or subscribe to our newsletter, we collect what you provide — typically your name, business email, company, role, and anything you write in a message field.
Information collected automatically. When you visit iconica.co, we receive standard technical data: IP address, browser type, device, pages visited, referring source, and time on site. This comes from cookies and similar technologies. You can manage these through our cookie banner or your browser settings.
We do not collect special categories of personal data (health, political views, etc.) and we don't ask for them.
Why we collect it, and on what legal basis
We process your data under the bases defined by the GDPR and the Swiss FADP. Specifically: we respond to your inquiries on the basis of pre-contractual measures or our legitimate interest in serving prospective clients. We send white papers and newsletters on the basis of your consent, which you can withdraw at any time. We use website data to improve our site and services on the basis of legitimate interest. And we retain certain records to meet our legal and accounting obligations.
How long we keep it
We keep personal data only as long as we need it for the purpose it was collected, or as required by law. Newsletter subscribers stay on our list until they unsubscribe. Inquiry data is typically retained for 24 months after our last interaction unless a client relationship is established.
Who we share it with
We don't sell or rent your personal data. Full stop.
We do work with a small set of trusted service providers who process data on our behalf, under contract, and only for the purposes we've specified. These include MailerLite for email marketing and white paper delivery, Microsoft 365 for business email and collaboration, Framer for website hosting, Make.com for workflow automation between our tools, and analytics tools for aggregated website performance.
Some of these providers are based outside Switzerland and the EU. When that's the case, we rely on Standard Contractual Clauses or equivalent safeguards to protect your data during transfer.
We may also share data when legally required (court orders, regulatory requests) or to protect our rights and those of our users.
How we protect it
We apply appropriate technical and organisational measures: encrypted connections, access controls, regular review of our tooling, and the principle of least privilege — only people who need access have it.
No system is perfectly secure, but we take this seriously and review our practices regularly.
Your rights
Under the GDPR and Swiss FADP, you have the right to access the personal data we hold about you, correct anything that's inaccurate, request deletion ("right to be forgotten"), restrict or object to certain processing, receive your data in a portable format, and withdraw consent at any time where processing is based on it. You also have the right to lodge a complaint with your local data protection authority — in Switzerland, that's the FDPIC (edoeb.admin.ch); in the EU, your national supervisory authority.
